Exchange Email Signatures

Problem

Encryption problems sending to outside SURVICE email addresses.
Error will display as illustrated.

Solution

The solution is to exchange email signatures prior to attempting to encrypt and to save one another's signature certificate. 
Both ends must be using a desktop version of MS Outlook to proceed.

Send a Signed Email

  1. Using Microsoft Outlook, start a new email. 
  2. Address the email to the address which you intend to exchange email signatures.
  3. Select the Options tab.
  4. Select the Sign button to add your signature certificate to the email.
  5. Send the now signed email as you normally would using keyboard shortcut or the Send button.

Save Sender's Signing Certificate

A signed email has the certificate flag on it as illustrated below.

  1. Right-mouse-click on the sender's name. 
  2. From the resulting menu, choose Add to (or update) Outlook Contact(s). (The below illustration shows the add to option)

  3. The result is the contact card dialog opening. Select the Certificates button in the show menu grouping to verify that the sender's certificate is displaying.
    (In the below illustration we've removed the person's name and digital ID for security purposes in the writing of this article.)
  4. Select the Save and Close button.
Once both sender and recipient has completed the previous steps, email encryption "should" work between the emails in question.
